Direct answer. Keep the document date, named activity and actual occurrence date separate. Dearing's February 23, 2026 community-events paper contains tentative planning, while its March 9 council agenda distinguishes Dearing Clean-up Day business from a County Trash Amnesty Day announcement. A shared park name does not make them the same event. Use the papers to identify questions, not to establish attendance, completed activities or responsibility.
Someone injured during a community activity may later find several Dearing notices mentioning the same park, meeting place or month. Those references can be helpful without describing the same gathering. Two official town papers illustrate why labels matter: a February 23, 2026 Community Events Meeting document and a March 9, 2026 Mayor and Town Council agenda. They contain planning items and announcements with different purposes. Begin with the invitation, instructions and account connected to the person's actual activity. Use the public documents to preserve dates and clarify identities rather than to fill gaps with an assumed event history.
Read the planning date before the proposed activity date
The February 23 community-events document lists Clean-Up Day at Eubank Park with tentative date wording that includes March 28 and April 4 followed by a question mark. Keep that uncertainty with the item if it is supplied in connection with an injury account. The date of the meeting paper is different from the proposed activity date. Neither one, by itself, establishes when an activity actually took place. An original invitation or later communication may provide another version; preserve its source rather than silently replacing the planning document.
Separate two activities that mention the same park
The March 9 council agenda lists Dearing Clean-up Day under Business. Its Announcements section separately lists County Trash Amnesty Day on March 21 at Eubank Park. Do not merge those labels or treat one as a confirmed replacement date for the other. A shared location can host different activities, organizers and document trails. When identifying a missing item, use the precise activity name and supported date from the person's material. A general recollection of a park clean-up should remain a recollection until another source identifies the gathering more closely.
Distinguish meeting locations from the occurrence point
Both dated meeting documents print 4614 Augusta Highway in their meeting information. The county-hosted Town of Dearing contact page separately lists 4577 Augusta Highway as the town's physical contact address. Keep each address with its stated purpose and document date. These listings do not establish that a gathering moved or that an injury occurred at either address. If the person was at a walking track, gym, park or another location, describe that actual setting instead of using a general office or meeting address as a substitute.
Keep the page heading with an activity listing
The February paper separates Town Hosted Events from Other Upcoming Local Things to Do. The latter includes a Downtown Harlem activity, alongside other local-area announcements. An item appearing on a Dearing planning sheet is therefore not proof that it occurred in Dearing or that the town organized it. Retain the section heading, event name and location when saving a copy. This matters when an invitation, volunteer instruction or photograph concerns an activity away from the meeting venue or uses a broader regional description.
Preserve instructions for the task actually performed
If the person was helping set up, carrying supplies, cleaning an area or taking part in recreation, keep the actual instruction or invitation that describes that role. Identify who sent it and whether it was changed later. A planning document's event title does not establish the person's employer, supervisor, volunteer status or assigned work. Similarly, the presence of an activity in a public agenda does not show which tools, equipment or movement were involved. Keep those details grounded in the person's firsthand account and original communications.
Ask the town to clarify a defined document question
The Town of Dearing page identifies a general municipal contact. Use that institutional purpose to clarify an item already referenced in the papers, such as the title or date of a particular town document. Do not assume the town holds every county, private organizer or participant record. The March agenda's statement that the meeting would be recorded is not confirmation that a recording was made or remains available. A public agenda also is not adopted minutes or proof that a listed action happened. Keep any reply or referral with the specific question it addresses.
Finish with a factual chronology and visible gaps
Place meeting-paper dates, activity dates supported by original material, the occurrence account and later replies in separate entries. Record who directly observed the event and who supplied information afterward. A later photograph can help identify a feature while leaving its earlier condition unresolved. Keep care documents with their actual provider and do not infer a medical explanation from an event announcement. The resulting Dearing file should make event identity, location and missing documents easier to assess without deciding attendance, supervision, responsibility or a legal result.
